Senior Operations Manager

Scope of Work

Working with the Executive Director, the Senior Operations Manager will provide leadership for the day-to-day operations team (finance, human resources, administration dan general affairs) of Secretariat Perhimpunan Filantropi Indonesia (PFI) including contracting and monitoring activity compliance, office operations, financial management, and procurement processes. Other duties include supporting the program activities, membership activities, marketing and communication both digital and non-digital. The position reports directly to the Executive Director.

Overall, the role of a Senior Operations Manager is to support the Executive Director in leading and managing the organization and to ensure that all activities are aligned with the organization’s mission and goals.

Responsibilities

1. Oversee the day-to-day operations (finance, human resources, information technology, administration dan general affairs), including budget planning and controlling, personnel administration, facilities and safety for Secretariat PFI.

2. Coordinate, implement and monitor the programs/communication, membership and operations based on priority plan of PFI.

3. Recommend and assist the implementation of internal policies and procedures and interpret and apply organization policies/procedures.

4. Ensure the compliance with organization policies/procedures, and government regulations; effective utilization of personnel, material, space, and equipment; and effective PFI members services.

5. Work closely with direct subordinates/line managers to ensure that his/her responsibilities are effectively and consistently discharged.

6. Represent the organization at meetings, conferences, and other events when Director Executive is absent or away.

7. Oversee the activities and personnel for a specific finance/accounting function to ensure financial results are accurately reflected; develops short and long-term business plans for the organization, and develops and implements methods and procedures for the preparation of periodic financial reports and results of operations, including ensuring the accuracy of details such as journal entries, cash, assets, and reconciliation; and responsible for tax and treasury strategies of the organization.

8. Oversees the following human resource functions: Employee Relations, Compensation and Benefits, Performance Management, Payroll, Staff Development Plan (Training), and Organization Development.

9. Coordinate the development and reviews contracts that may involve donor grants, leases, licenses, purchases, sales, insurance, etc.

10. Ensure the compliance and recommend the improvement of the procurement process effectively.

11. Manage all communications with the public and donors across various programs and prepare strategies for recommending PFI on various social media, including develop and implement digital content for PFI online and offline campaigns, as well as manage digital communication channels and PFI Communication Digital Platforms.

12. Assist the Executive Director in the annual planning & budgeting and coordinate the implementation & monitoring closely with the subordinates/line managers.

Qualifications, Knowledge and Skills

· Minimum bachelor’s degree or higher in a related field, such as business administration, management, or public administration.

· Minimum 5 years of work experience in a leadership or management role, preferably in the corporate, non-profit and/or philanthropy sector in Indonesia.

· High-level project and team management experience, including coordinating finance, administrative, logistical, procurement, human resource management, programs, digital marketing and communication.

· Experience in preparing standard operating procedures and reports using a consultative and analytical approach.

· Strong communication and interpersonal skills, with the ability to communicate effectively with staff members, stakeholders, and other external parties.

· Excellent problem-solving and decision-making skills, with the ability to identify and address problems quickly and effectively.

· Strong organizational and time-management skills, with the ability to multitask and prioritize tasks effectively.

· A proven track record of leading and managing teams and the ability to motivate and inspire staff members.

· Working knowledge of information technology (IT) infrastructure and MS Office (Word, Excel, Power Point, Outlook).

· Advanced proficiency in English and Bahasa Indonesia.

· Have up-to-date social media knowledge.
